Job Description:

Job Summary

 

The Receptionist ensures that all contact with customers and colleagues is a positive experience. Provides support to external customers (members, potential members, callers) and to internal customers. Ensures materials are prepared as requested, accurately, in a timely manner, and that they represent quality.

 

Key Result Areas

 

Essential

 

  • Answer and direct incoming telephone calls (70-90 calls per day)

  • Greet all applicants, guests, and vendors

  • Separate and distribute incoming mail

  • Manage vendor visits and deliveries

  • Record certified mail

  • Manage UPS and FedEx deliveries

  • Notify employees of packages delivered

  • Maintain and answer questions about office equipment: copier, FAX, etc.

  • Perform administrative duties as needed, including word processing, Excel

  • Backup purchaser for office supplies

  • Train back-up personnel for front-desk coverage

  • Managing return mail and return mail letters

  • Distribute supplies to employees

  • Order any printing (Fund envelopes, enrollment cards, HIPAA forms, etc.)

Experience and Skills:

Minimum Qualifications

 

  • High school diploma or equivalent

  • Excellent customer service attitude

  • Good written and verbal communication skills

  • Sitting with intermittent moving in an office environment, lifting of office supplies, talking and hearing

  • Knowledge of Microsoft Office software (Word, Excel, PowerPoint, and Outlook)

  • Ability to organize, work efficiently, perform multi-tasking, prioritize tasks, and meet tight deadlines

  • Ability to efficiently and effectively perform the Essential Key Result Areas with or without a reasonable accommodation without posing a direct safety threat to others or self

  • Maintain a high level of customer service toward incoming phone calls and guests in the lobby
